If you are already using Microsoft 365, you will know how helpful Copilot can be when it comes to everyday tasks such as drafting emails or summarising documents, making it easier to get started and keep things moving throughout the day. However, Microsoft is taking it a step further with Copilot Cowork, by moving beyond simple assistance and into something much more practical.
Instead of just helping you begin a task or giving you a draft to work from, Copilot Cowork is designed to take on full pieces of work and run them for you, working across your Microsoft 365 apps to bring everything together in one place.
What is Copilot Cowork?
In simple terms, Copilot Cowork is Microsoft's move towards AI that can do more than simply answer questions or generate content. Rather than helping with one task at a time, it can work across multiple Microsoft 365 applications to complete a piece of work from start to finish.
It is less about asking questions and more about handing your work over. Instead of switching between Outlook, Teams, Word and Excel, Copilot Cowork connects everything together and completes the task as one flow.
How is Copilot Cowork different from Microsoft 365 Copilot?
While Microsoft 365 Copilot and Copilot Cowork are closely connected, they are designed to help in different ways. Microsoft 365 Copilot acts as an AI assistant that helps you complete individual tasks more efficiently. Copilot Cowork takes this a step further by working across multiple Microsoft 365 applications and completing entire workflows on your behalf.
What does that look like in everyday work?
Most businesses are not short of work. The challenge is finding enough time to get everything done. A typical week might involve reviewing meetings, replying to emails, preparing documents and trying to find time to focus. Copilot Cowork helps bring all of this together.
Organising your week without the manual work
Copilot Cowork can:
Organise your calendar and identify which meetings really matter
Spot clashes and suggest what to accept, decline or move
Draft follow-up emails automatically
Find time in your diary for focused work
Instead of manually working through your week, it helps you start with a clear plan.
Turning tasks into completed work
One of the biggest changes with Copilot Cowork is how it approaches tasks.
A different way of working with AI
Rather than giving you a starting point, it aims to take something from idea to completion. You describe the outcome you want and it plans and delivers the work across your Microsoft 365 apps. This could be anything from preparing for a meeting to creating reports or managing follow-ups after a project.
Real examples of Copilot Cowork in action
While the concept of AI completing tasks across multiple applications sounds impressive, the real value becomes clearer when you look at how it could be used in everyday business scenarios.
Sales teams
A salesperson preparing for a customer meeting might spend time reviewing emails, checking previous conversations and gathering documents from different locations. Copilot Cowork could bring all of that information together automatically, create a meeting brief and prepare follow-up actions before the meeting has even started.
HR teams
When onboarding a new employee, Copilot Cowork could help coordinate tasks across departments, schedule induction meetings, prepare documentation and ensure key stakeholders are informed without requiring manual follow-up at every stage.
Project managers
Project managers often spend hours chasing updates and creating status reports. Copilot Cowork can gather information from meetings, emails and documents, helping create summaries and identify outstanding actions more efficiently.
Why it matters for your business
For many organisations, productivity is not limited by a lack of information but by the amount of time spent moving between different systems. Employees regularly switch between Outlook, Teams, Word and Excel just to complete a single task, and those small interruptions quickly add up throughout the working week.
Making time for more meaningful work
Copilot Cowork helps reduce that by bringing everything together and handling tasks in one place.
That means:
Less time spent on repetitive admin
More consistency across your work
More time for the work that actually adds value
It is not about replacing people; it is about helping your team focus on the parts of their job that really matter.

For UK organisations, an administrator must also enable Anthropic as an approved subprocessor for the users or groups who will use Cowork.
