MPS - How it works

Assess

This is one of the most important phases in the MPS (Managed Print Services) process.

Our MPS specialist will evaluate your company’s existing hardware and consumable spend. We will gather crucial information from:

• walkthroughs to map devices; 
• discussions with key users to understand your business requirements;
• device polling to identify device usage levels.

The data obtained will include an analysis of how efficient and cost effective the devices are therefore it is important to obtain actual costs of devices, supplies and services to provide the most accurate assessment and representation of the infrastructure.

Design

Following the assessment phase, Document Network Services will discuss the current infrastructure and present the new proposed design strategy. Based on the result of this comparison, we will make appropriate recommendations to improve print services management and enhance capabilities for your business.

Implementation

To ensure that your business maximises productivity and cost savings the implementation phase of the process will involve:

• installing software to monitor supplies and service information;
• optimising hardware to streamline your business processes;
• training as needed. 

Management

The Management phase will be continuous.  We will monitor hardware alerts including troubleshooting and repair, pro-actively replenish supplies and manage your fleet.

Regular updates and meetings will be scheduled where we will present reports on usage, and discuss potential workflow improvements that may be beneficial to your business to create further cost efficiencies.
